Buildertrend and QuickBooks Online do different jobs. Buildertrend is where many contractors run the field side of a project — schedules, selections, change orders, purchase orders, client communication. QuickBooks Online is the general ledger: the books your CPA, your bank, and your bonding agent rely on. When the two are connected, information can move between them, but a connection is not the same as clean books. Someone still has to decide which system owns each piece of data, keep the mapping right, and reconcile the result every month.
This page is for owners and office managers who run Buildertrend with QBO, or are about to. We cover what usually belongs in the field tool and what belongs in the books, where the connection tends to break (jobs, costs, and billings), and a monthly routine with your bookkeeper that catches drift before it turns into a bad job report or a rejected draw. We are not here to sell you Buildertrend, and we won't describe sync features we can't verify for your account. For current setup steps, Buildertrend's and Intuit's own help docs are the source of truth. Our job is the accounting side.

A Buildertrend + QuickBooks Online setup works when six habits hold:
None of this needs a new tool. It takes clear ownership and a routine.
Every company sets this up a little differently, and what can actually pass between the systems depends on your Buildertrend plan, your integration settings, and current product behavior. Treat this table as a starting framework for a conversation with your bookkeeper, not a spec sheet.
| Area | Usually lives / starts in Buildertrend | Usually lives / is final in QuickBooks Online | Who reconciles |
|---|---|---|---|
| Job / project setup | Job record, schedule, client portal, selections | Customer / project used for job costing and AR | Office + bookkeeper at job start |
| Estimate & budget | Estimate, budget by cost code | Budget reference only (if used); contract value for revenue / WIP | PM sets budget; bookkeeper confirms contract value |
| Change orders | CO created, approved, client signed | Revised contract value; CO billing as revenue | PM approves; bookkeeper books once approved |
| Purchase orders & subs | POs, sub commitments, scopes | Vendor bills, AP aging, 1099 vendor data | AP / bookkeeper |
| Vendor bills & costs | Bill entry or approval (depending on setup) | Final posted cost, coded to job and account | Bookkeeper, monthly |
| Labor | Time clock / crew hours (if used) | Payroll cost and burden, from payroll system | Bookkeeper + payroll |
| Client billing | Invoices / draws shown to client | AR, revenue, retainage receivable, deposits | Bookkeeper, every billing cycle |
| Cash | Payments shown to client (if used) | Deposits matched to bank, reconciled | Bookkeeper, monthly |
| Reporting | Job progress, budget vs actual in the field | P&L, balance sheet, job cost reports, WIP schedule | Owner reviews; bookkeeper prepares |
The pattern: Buildertrend is the operating record of the job; QuickBooks Online is the financial record of the company. Where they overlap (costs, billings, cash), the books are what your lender, surety, and CPA will use, so QBO has to be correct even if the field view looks fine.
A sync moves data. It doesn't judge it. If a bill is coded to the wrong job in the field, it can arrive in QBO coded to the wrong job. If a job gets renamed in one system and not the other, records can land somewhere unexpected or fail to sync. If someone keys an invoice into QBO by hand and it also exists in Buildertrend, you can double revenue.
The accounting work that stays with the books no matter what is connected:
So the honest answer to "if we connect Buildertrend to QuickBooks, do we still need a bookkeeper?" is yes. The connection takes some keying off the bookkeeper's plate, and the review and the close stay.
Most Buildertrend ↔ QBO problems start with the job list.
When the cost side drifts, the job cost report and the P&L stop agreeing. That's the core problem on job cost report vs profit and loss.
For the bigger job-costing system, start with job costing for contractors.
Billing errors are where a sync problem turns into a cash problem: a draw that doesn't foot, a client who disputes an invoice, revenue that's doubled or missing.
| Symptom | Likely cause | First check |
|---|---|---|
| Job margin in Buildertrend looks better than the QBO job cost report | Costs entered in QBO only (burden, cards, accruals) | Compare cost-to-date by category on one job |
| Revenue on the P&L higher than invoices sent | Duplicate invoice entry, or deposits booked as revenue | Billed-to-date tie-out per job |
| "Unassigned" or catch-all account keeps growing | Unmapped or new cost codes | Review the cost code map |
| Duplicate customers/projects in QBO | Jobs created in both systems by hand | Monthly job-list match |
| WIP schedule doesn't match field progress | Change orders not in contract value; costs miscoded | CO log vs QBO contract value |
| Bank reconciliation won't close | Payments recorded in two places | Match deposits to bank, then to invoices |
| AP aging doesn't match open POs/bills in the field | Bills entered in both systems, or approvals not posted | Bill path review |
If three or more of these sound familiar, one cleanup pass usually costs less than another quarter of decisions made on numbers you don't trust. That review is what the DIG Diagnostic is built for.
You don't need a big project. You need the same short checklist every month.
If you're setting up a connection for the first time, or rebuilding one after a mess, do the accounting groundwork first. Turning on a sync before the books are ready usually just moves the mess faster.
Blackline does construction bookkeeping, month-end close, and fractional CFO work for contractors running roughly $1M–$30M in revenue. QuickBooks Online is the accounting platform for every client. Many contractors come to us already running a field tool like Buildertrend, and part of our job is making sure the books and the field tell the same story.
Package details are on services. We don't prepare tax returns. Tax questions go to your CPA, and we hand them clean books. We don't give legal advice on contracts or lien rights.
We work with contractors throughout the Phoenix metro and remotely nationwide. Local pages: Mesa, Gilbert, Chandler, Scottsdale, and Phoenix.
Buildertrend offers an accounting integration with QuickBooks. Exactly what passes between the systems, and in which direction, depends on your plan, your settings, and the current product. Check Buildertrend's and Intuit's documentation for specifics. Whatever syncs, QBO stays the official books, and they still have to be reconciled and closed every month.
Yes. A connection can cut down on double entry, but it doesn't reconcile the bank, allocate payroll burden, book accruals, maintain retainage and deposits, prepare WIP, or catch miscoded costs. That review and the close are bookkeeping work.
Usually one of three reasons: costs that live only in QBO (payroll burden, card purchases, accruals), cost codes that aren't mapped to the right QBO accounts, or bills entered in both systems. A monthly cost-to-date tie-out on your largest jobs will show which one it is.
Either can work. The rule is to create them in one place, use one naming convention, and match the active job lists every month. Creating the same job by hand in both systems is the most common source of duplicates.
Approve and document the change order in the field. Then make sure contract value and billing in QBO are updated in the same cycle. If the books lag, percent complete, WIP, and over/under billings go wrong.
No. We aren't presenting ourselves as one. We work with contractors who already use Buildertrend alongside QuickBooks Online, and we focus on the accounting side: mapping, reconciliation, close, and reporting.
That's a common starting point. The DIG Diagnostic finds where jobs, costs, and billings disagree and lays out a cleanup plan. Ongoing Foundation, Frame, or Blueprint work then keeps the two in line month to month.
If your Buildertrend numbers and your QuickBooks numbers don't agree, start with a review rather than another workaround.
